The Career Foundation is currently seeking a full-time Communications Representative on behalf of one of our employer partners. The Communications Representatives will be responsible for answering general shelter telephone inquiries, or redirecting incoming calls for the attention to the appropriate departments when necessary. This position will also be responsible for contributing to the team’s fundraising efforts and assist with major fundraising programs.

 Responsibilities:

  • Receive and respond to inbound live calls, face to face at events, public gatherings, and in other public interactions as designated by management; act as a representative of the brand
  • Make outbound calls to current and prior donors to update payment information, reactivate donations and discuss donation amounts, as well as donor appreciation calls
  • Answer donor inquiries and process donations
  • Effectively balance multiple communication mediums (including social media) while maintaining exceptional customer service
  • Actively listen to customers/clients/public members, quickly assess needs and proactively provide solutions and responses, building connections and trust within those stakeholders
  • Responsible for accepting payment and or donations as designated by management
  • Provide excellent customer service in a non-judgemental and engaging fashion
    1. handle complaints or difficult interactions independently and document required interactions within our shelter software or CRM systems
  • Responsible for ensuring privacy of confidential information (following PIPEDA legislation), maintaining communication records where required
  • Administrative functions related to shelter animal records, including but not limited to scanning, uploading and general file maintenance
  • Maintain a professional appearance, demeanour, and attitude at all times
  • Attend and participate in workshops, seminars, and in-service training to further education, skills, and training
  • Maintain up-to-date, comprehensive organizational knowledge
  • Needs to be able to cope under sometimes demanding or stressful situations (handling crowds, large call volumes, etc.) and is often required to multitask in order to complete all daily duties on time.
  • Be aware of and work within the regulations of all policies and protocols
  • Work in compliance with the provisions of the OHSA and its regulations including understanding and adhering to the requirements of the Health and Safety Manual and any other rules and regulations established
  • Work cooperatively with all volunteers and recognize the talent and commitment they bring to the Society
  • Other duties as required in the day-to-day operation of the society

 

Requirements:

  • High school diploma or equivalent
  • Minimum 2 years of sales or fundraising experience
  • Or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job
  • Experience with Customer Relationship Management (CRM) systems and database management an asset
  • An understanding and commitment to fundraising ethics and donor privacy
  • Ability to take responsibility and be accountable, and deal with change in the workplace
  • Flexibility with changing priorities and ability to remain focused to meet timelines
  • Excellent oral and written communication, and interpersonal skills
  • Ability to remain calm and professional in urgent/demanding situations
  • Ability to deal with the public sensitively, tactfully, diplomatically, and professionally at all times (in person, over the phone or by email)
  • Ability to work individually as well as part of a team
  • Proficient in Microsoft Office programs (including Word, Excel, and Outlook)
  • Acts as a positive influence throughout the organization, fostering commitment to teamwork and building a climate of professionalism, openness and communication
  • Able to work evenings, weekends, and some holidays

 

Work Conditions:

  • Flexible hours, including evenings, weekends, and holidays
  • Occasional overtime may be required
  • Operation of computer, phone, and peripherals
  • Extended periods of sitting, repetitive clerical tasks or answering phone calls
  • Interaction with public, employees, donors, stakeholders, volunteers and management
  • Working in a busy office environment with frequent interruptions
  • May involve the lifting, carrying, pushing, and/or pulling of heavy to moderately heavy objects and materials
  • Performance of essential functions may require exposure to adverse environmental conditions, such as dirt, dust, odours, noise extremes, hazardous materials, bright/dim lights, toxic agents, animal attacks, animal bites, disease, pathogenic substances, or rude/irate customers.
